You’ve signed the paperwork. The installation is scheduled. But now the nerves are setting in. How long will this take? Will strangers be in your house all day? What about your pets, your stuff? Will you have heat or AC by tonight?

Before the Crew Arrives: How to Prepare

A little preparation the day before makes everything go smoother.

Clear the work areas. Move furniture, boxes, and storage items away from both your indoor unit (usually in a closet, basement, or attic) and where the outdoor unit will be placed. The crew needs about 3-4 feet of clearance to work safely.

Secure your pets. Dogs and cats should be confined to a room away from the work zones or, ideally, stay with a friend or family member for the day. Open doors, unfamiliar people, and loud equipment can stress pets—and stressed pets can slow down the installation.

Plan for temperature changes. Your old system will be off for several hours while the new one is installed. In summer, open windows early to cool the house. In winter, have extra layers ready.

Make sure we can get in. Confirm someone will be home during the scheduled arrival window. The crew needs access to indoor units, outdoor areas, and sometimes attic spaces or crawl spaces.

Have questions ready. Jot down anything you want to ask the lead technician—about the equipment, the warranty, or how to operate your new system.

Crew Arrival and Setup (First 30 Minutes)

The crew arrives within your scheduled window—usually between 7:30 and 8:30 AM for a standard install. The lead technician introduces the team and walks through the plan for the day.

During the initial walkthrough, you’ll confirm exactly where equipment will be placed and address any last-minute questions. This is your chance to point out anything the crew should know—a squeaky floorboard, a pet door, or items that can’t be moved.

Before any work begins, the crew lays down floor protection—drop cloths or plastic sheeting on carpet and hard floors. They’ll also protect walls and furniture in high-traffic areas. Our crews treat your home like their own—floor protection, careful handling, and full cleanup are standard on every job.

Removing the Old System (Hours 1-2)

Removal typically takes 1-2 hours, depending on what’s being replaced.

The crew disconnects and removes your old indoor unit first—whether that’s a furnace, air handler, or coil. Then they move to the outdoor unit.

Safe refrigerant handling. Federal law (EPA Section 608) requires all refrigerant to be properly recovered before disposing of old equipment. Our technicians are EPA-certified and use specialized recovery equipment to capture refrigerant—none is vented into the atmosphere. This isn’t optional; it’s the law, and it’s the right thing to do.

What sometimes comes up. Once old equipment is out, technicians inspect existing ductwork, wiring, and connections. Occasionally they discover issues that weren’t visible before—corroded wiring, damaged duct connections, or other problems. If this happens, they’ll explain what they found and discuss options before proceeding.

Installing the New Equipment (Hours 2-5)

This is the longest phase of the day—typically 3-5 hours for a complete system replacement.

Indoor unit installation. The new furnace, air handler, or coil is positioned and leveled. Proper positioning matters for drainage, airflow, and long-term performance.

Outdoor unit installation. The condenser or heat pump is placed on a level pad and connected. Proper clearance around the unit ensures adequate airflow and makes future maintenance easier.

Connections. The crew runs new refrigerant lines between indoor and outdoor units, makes electrical connections, and sets up the condensate drain to carry moisture away from the system.

Thermostat installation. If you’re upgrading to a new thermostat—especially a smart thermostat—this happens during installation. The crew will wire it properly and configure basic settings.

Ductwork modifications. If your new system requires ductwork changes (different size connections, additional returns, or sealing leaky joints), this work happens during installation. Ductwork issues are one of the most common reasons installations take longer than expected.

Testing and Calibration (Hours 5-6)

Once everything is connected, the real work begins: making sure your new system performs exactly as it should.

System startup and refrigerant charge. The technician powers up the system, monitors initial operation, and verifies refrigerant charge using pressure and temperature measurements. Proper charge is critical—too much or too little refrigerant can reduce efficiency by 20% or more.

Airflow testing. The crew checks airflow at vents throughout your home. Proper airflow ensures even temperatures and maximum efficiency.

Safety checks. For gas systems, technicians verify gas connections and check for leaks. They test electrical connections, condensate drainage, and all safety controls, then fine-tune settings for optimal performance.

Your Walkthrough and Handoff (Final 30 Minutes)

Before the crew leaves, the lead technician walks you through your new system: how to operate your thermostat, where the filter is and how to change it (check monthly, change every 1-3 months), what the warranty covers, and maintenance recommendations.

You’ll receive warranty registration documents, care instructions, and your invoice. Keep these in a safe place. This is your chance to ask any questions—no question is too basic.

After the Crew Leaves

Your new system is running. Here’s what to expect.

Normal sounds. New systems often sound different from what you’re used to. Variable-speed systems may run longer at lower speeds—this is normal and more efficient than short, intense cycles.

Give it 24-48 hours. It takes a day or two for your home to reach optimal comfort levels.

When to call. If you notice unusual noises (grinding, squealing, banging), if the system won’t turn on, or if rooms aren’t reaching temperature after 48 hours, give us a call. Minor adjustments in the first week are normal and covered.
